1. Introduction
This Privacy Policy explains how Birdmember GmbH ("Birdmember", "we", "us", or "our") collects, uses, stores, and shares personal data when you use the Birdmember mobile application (the "App") and related services, including our website at birdmember.com (the "Website").
Birdmember is a private social networking platform exclusively for verified airline crew members. The App is not publicly accessible. Only verified airline crew members may create an account and access other user profiles. Profiles are never publicly indexed.
We process personal data in accordance with the Swiss Federal Act on Data Protection (nFADP) and, where applicable, the EU General Data Protection Regulation (GDPR).

3. Personal data we collect
Depending on how you use Birdmember, we may collect and process the following categories of personal data.
3.1 Account and authentication data
- Account information you provide during registration (such as name and profile details)
- Corporate airline email address
- Email one-time passcodes (OTP) used to verify your email address
- Authentication data associated with Sign in with Apple or Sign in with Google, where you choose those methods (for example, identifiers and email address provided by those services)
- Information needed for manual verification by Birdmember moderators if automatic verification cannot confirm airline affiliation
Birdmember does not normally collect or require identity documents or crew ID cards during verification. Verification is primarily based on your corporate airline email address.
3.2 Profile data
- Profile information you choose to display to other verified users
- Profile photographs you upload
3.3 Service content and activity data
- Layover information you create or manage
- Crew matching-related information necessary to operate matching features
- Private one-to-one messages
- Photos shared inside private chats
- User blocking and reporting actions
- Subscription status and related entitlement information
3.4 Device, technical, and notification data
- Push notification tokens
- Technical device information (such as device type, operating system, app version, and similar diagnostic data)
- Log and security-related technical data needed to operate and protect the service
3.5 Analytics information
We collect analytics information about how the App is used, such as feature engagement and usage patterns, exclusively to improve the application, understand product usage, improve user experience, develop future features, and support future gamification.
3.6 Website data
If you visit the Website (for example, to learn about Birdmember or join a waitlist), we may collect information you submit through forms and limited technical data generated by your browser. Where cookies or similar technologies are used on the Website, they are described in Section 10.
4. How we use personal data
We process personal data for the following purposes:
- Creating and managing user accounts
- Verifying that users are airline crew members
- Providing authentication, including email OTP and Sign in with Apple or Google
- Enabling profiles, layover management, crew matching, private messaging, and photo sharing within chats
- Sending push notifications you enable
- Processing and managing subscriptions and entitlements
- Enabling user blocking and reporting to protect the community
- Providing customer support and responding to requests
- Improving the App, analysing product usage, and developing future features
- Maintaining security, preventing abuse, and enforcing our terms
- Complying with legal obligations
5. Legal bases for processing
Where the GDPR applies, we process personal data on one or more of the following legal bases:
- Contract — processing necessary to provide the App and perform our agreement with you (including account creation, verification, messaging, matching, and subscriptions)
- Legitimate interests — processing necessary for our legitimate interests, such as securing the service, preventing misuse, improving the product, and understanding usage, provided these interests are not overridden by your rights
- Consent — where we rely on consent (for example, certain optional notifications or, where required, certain analytics or cookie uses), you may withdraw consent at any time
- Legal obligation — processing necessary to comply with applicable law
Where the Swiss nFADP applies, we process personal data in accordance with the principles of that Act, including lawfulness, good faith, and proportionality.
6. User verification
Access to Birdmember is restricted to verified airline crew members. Users are primarily verified through their corporate airline email address. An OTP verification code is sent to that email address.
If automatic verification cannot confirm airline affiliation, Birdmember moderators may perform a manual review. Birdmember does not normally collect or require identity documents or crew ID cards as part of verification.
Profiles of verified users are visible only to other verified users within the App and are not publicly indexed on the open internet.
7. Messaging, photos, and community safety
Private one-to-one messages and photos shared in chats are processed to deliver the messaging service. Content you share with another user becomes available to that user within the App.
We may process information related to blocking and reporting so that users can manage unwanted contact and so that we can investigate reports, protect users, and maintain a safe community. We do not sell personal data.
8. Subscriptions and payments
Birdmember currently offers three free layovers. After that, continued use of paid features requires an annual subscription of €29.99 (or the equivalent amount displayed in the App Store or Google Play for your region).
Payments are processed exclusively by Apple In-App Purchases or Google Play Billing. Birdmember receives subscription and entitlement information needed to provide paid features. Birdmember never stores complete payment card information.
Apple and Google process payment data under their own terms and privacy policies. Please review their policies for details on how they handle billing information.
9. Analytics
We use analytics solely to improve the application, understand product usage, improve user experience, develop future features, and support future gamification. Analytics are not used to sell your personal data or to provide advertising based on your private messages or profile content.
Analytics may be provided by trusted service providers acting on our behalf. We configure such tools in a manner intended to support product improvement and operational insight.
10. Cookies and the Website
The Birdmember mobile application does not use website cookies. Any cookie or similar technology description in this section applies only to the Website.
When you visit birdmember.com, we or our service providers may use cookies or similar technologies that are necessary to operate the Website, measure limited usage, or improve site performance. You can control cookies through your browser settings. Disabling certain cookies may affect Website functionality.
11. Sharing of personal data
We may share personal data only as needed to operate Birdmember, including with:
- Trusted service providers that help us host, authenticate, send communications, deliver push notifications, process analytics, or support the App
- Apple or Google when you use Sign in with Apple, Sign in with Google, or in-app purchases
- Other verified users, to the extent necessary for the features you use (for example, profile information visible to other crew members, or messages and photos you send)
- Professional advisers, authorities, or other parties where required by law or necessary to protect rights, safety, or security
Service providers may process personal data only when necessary to operate the service and under appropriate contractual obligations. We do not sell personal data.
12. International transfers
User data is securely stored on servers located within Europe. Where personal data is transferred outside Switzerland or the European Economic Area in connection with service providers or platform partners, we take steps intended to ensure an adequate level of protection as required by applicable law.
13. Data retention and account deletion
We retain personal data only for as long as necessary to provide the service, fulfil the purposes described in this Privacy Policy, and meet legal, accounting, or security requirements.
When you request account deletion:
- Your profile becomes inaccessible to other users
- Your personal data enters a retention period
- During this retention period, the account may be restored through Birdmember Support
- After the retention period expires, deletion becomes permanent

Some information may be retained longer where we are legally required to keep it, or where retention is necessary for dispute resolution, fraud prevention, or security. Private messages and shared photos associated with a deleted account are handled in accordance with our deletion and retention practices and may remain visible to the other party to a conversation where that content was shared.
14. Security
We use industry-standard security practices designed to protect personal data, including encrypted communications in transit, secure infrastructure, and controlled access to systems and data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
You are responsible for maintaining the confidentiality of your account credentials and for activity that occurs under your account.
15. Your rights
Under the Swiss nFADP and, where applicable, the GDPR, you may have the right to:
- Access your personal data
- Rectify inaccurate or incomplete personal data
- Request deletion of your personal data
- Request restriction of processing
- Receive your personal data in a portable format (data portability), where applicable
- Object to processing based on legitimate interests
- Withdraw consent where processing is based on consent, without affecting the lawfulness of processing before withdrawal
- Lodge a complaint with a competent supervisory authority

In Switzerland, complaints may be lodged with the Federal Data Protection and Information Commissioner (FDPIC). If you are in the European Economic Area or the United Kingdom, you may lodge a complaint with your local supervisory authority.
16. Children
Birdmember is intended solely for verified airline crew members and is not directed to children. We do not knowingly collect personal data from individuals who are not eligible to use the service.
17. Changes to this Privacy Policy
We may update this Privacy Policy from time to time to reflect legal, technical, or business changes. The updated version will be indicated by the "Last updated" date above. Where required, we will provide additional notice. Continued use of the App after an update constitutes acknowledgment of the revised Privacy Policy, except where applicable law requires a different form of consent or notice.
